Coordinator, Marketing and Sponsorship Development

The Marketing and Sponsorship Development Coordinator will work directly with both the Vice President and Sponsorship Director in the Marketing and Sponsorship Department. Job duties include supporting activities relating to business development and marketing initiatives, the development of marketing materials, social media management, as well as assisting with sponsor relations, events, meetings and presentations. This position will execute efficiently regarding timelines and parameters of the scope of work. The successful candidate for this role will exhibit exceptional organizational skills, be highly motivated as well as a self-starter, and be a creative and strategic contributor to the overall efforts of the department and organization. The mission of the Heart O’ Texas Fair & Rodeo is to produce events for education, entertainment and agricultural experiences while giving back through youth scholarships and providing a positive outcome for Central Texans.

- Support overall Marketing and Sponsorship Department
- Write and distribute press releases
- Write articles for quarterly and monthly newsletters
- Assist in executing marketing plan(s) for Heart O’ Texas Fair & Rodeo as well as other onsite events
- Assist in developing marketing and sponsorship materials to include, but not limited to, programs, invitations, reports, agreements, etc.
- Assist in identifying and implementing new technology and marketing strategies
- Provide management in the development and maintenance of social and online media to include tracking and measuring success of social media initiatives
- Manage updates for both Websites ( and
- Manage information updates on all outside community calendars
- Manage electronic marquees to include creation of sponsor and event slides
- Manage all aspects of photography for the Fair & Rodeo for promotional and sponsor report usage as well as other events throughout the year
- Assist with all sponsorship programs
* Set meetings with sponsors
* Prepare Sponsor Proposals
* Prepare Sponsor Agreements
* Create fulfillment reports
* Assist with Sponsor awards, including Night at the Rodeo, Rodeo Event Sponsorships, etc.
- Work with Sponsors, build relationships and network
- Conduct marketing and sponsor research
- Manage mailing lists for Marketing and Sponsorship Department
- Manage sponsor artwork logo files
- Engage with volunteers and provide oversight for one or more volunteer committees as needed

Other Duties:
- Primary contact for public by phone, walk-in and email
- Act as staff representative with volunteers and public
- Supervise part-time and temporary staff and interns
- Other duties as assigned

Special Events:
- Work long hours nightly during events, including but not limited to, the Heart O’ Texas Fair & Rodeo, ticketed events, other special events both on and off campus (8 a.m. – midnight)
- Assist with various events throughout the year, including but not limited to, ticketed events, on campus events and off campus events

To successfully complete this job, the following skills are necessary:
- Writing skills a must
- Ability to work independently, make independent judgments and solve problems
- Excellent PC skills, with knowledge of all Microsoft applications
- Organized, efficient, able to multi-task
- Self-motivated with a positive attitude
- Excellent communication and public relation skills, both written and verbal

Reports To:
Vice President of Marketing and Sponsorship Development

Education and/or experience:
College or university degree or certificate in journalism, communication, agricultural marketing or related field; or 2 to 4 years related experience; or equivalent of education and experience.
